ERASMUS Outgoing Terms and Conditions
Participation in the Erasmus Programme
The new programme offers several different ways in which you can study abroad as part of the Erasmus Programme:
- during a Bachelor’s degree: 2 - 12 months
- a Master’s degree: 2 - 12 months
- or during doctoral studies: 2 - 12 months
Students in degree programmes which include state examinations may receive funding through the Erasmus Programme for up to 24 months. Mobility between several partner universities is possible.
Mobility Grant Payments
The Erasmus Mobility grant shall only be paid for a proven period of study (at least 2 full months) and only for those months stated before the period of study abroad begins. Before commencing your period of study abroad, it is important to check the exact university term dates and to decide whether to study for one or two semesters.
The mobility grant is paid in two installments. The first installment is paid at the start of the period abroad: in September for those who are abroad between August and December of the same year; in January for those who begin their period abroad in the following year. A large portion of the grant is paid in the first installment (80%).
The second installment is paid once the period of study has been completed, provided that all required documents have been received by the Erasmus departmental coordinators. The deadline for the submission of documents is the end of April or end of September, the dates for payment are in June and October.
Duration of the Period of Study Abroad
The duration of the period spent at the chosen host university for which an Erasmus scholarship is received, is determined through collaboration between the Erasmus departmental coordinators and the partner universities involved. Information about the various durations of Erasmus periods of study abroad is available from your department’s Erasmus coordinator.
Erasmus scholarships are only awarded for a duration of between 2 and 12 months within an academic year. Funding within the academic year begins on 1 July at the earliest and must end by 30 September in the following year.
Note: A late change to the duration of your period of study abroad (particularly in the case of an extension) is only possible in exceptional circumstances and with the agreement of the central Erasmus office, your Erasmus departmental coordinator and the host university. A subsidy for the extended period is generally not available. You should therefore take time to consider the length of your period of study abroad before submitting your application.
Rights and Obligations
The Erasmus scholarship generally guarantees exemption from tuition fees at the partner university and, in most cases, a mobility grant for the whole of the study abroad period. The Erasmus coordinators help students create a Learning Agreement for their study abroad period, and discuss/agree on recognition of credits. This Learning Agreement is created on the Mobility Online platform and sent to the host university as part of the automated digital data exchange ("via EWP"). In accordance with the Learning Agreement, students can expect the credits they obtain during their Erasmus period of study to be recognised by their home university. At the end of the period of study abroad, the host institution issues a transcript of records. This transcript plays a crucial role in the recognition of credits at the home institution.
During their Erasmus period of study, students study and take examinations in the courses outlined in their Learning Agreement at the host institution. Certificates are issued to students to prove completion of their course of studies at the host institution. Changes to the duration of the Erasmus period of study, the Learning Agreement, account details or address are to be immediately communicated to the International Relations Office. The Erasmus grant is to be paid back in part or in full, if the period of study abroad is not started, is finished early or if the required documents are not submitted. At the end of the Erasmus period of study, students are expected to submit proof of the actual time spent studying at the host institution and the credits completed. Additionally, they have to fill an EU Online Survey.
Diploma Supplement
A Diploma Supplement is issued with the Bachelor’s or Master’s certificate after completion of the Bachelor’s or Master’s degree programme. The Diploma Supplement is a standardised English-language explanation of the achieved degree, the general programme content and the academic and professional qualifications associated with the degree. The aim is to enable categorisation of the degree within the German higher education system and to simplify international comparability.
For more information on the Diploma Supplement, please consult the examination rules and regulations of the respective degree programmes.
You have the option of including your Erasmus period (study abroad and/or internship) in the Diploma Supplement under 6 Additional Information.
Please discuss this option with your Erasmus departmental coordinator or examination office during the recognition process for credits obtained abroad.
