Management of StudiesElectronic health insurance registration for students

The electronic student registration procedure (SMV) is mandatory for all applicants from summer semester 2022.

According to 199a SGB V, there is a mutual obligation to register health insurance between health insurance companies and universities. The reciprocal electronic student registration procedure has been used exclusively since 01.12.2021. Notifications in paper form can then no longer be accepted.

The health insurance companies report to the university the

  • Insurance status (M10)
  • Start of insurance in the event of a change of health insurance provider (M11)
  • Delay in payment of health insurance contributions (M12)
  • Settlement of health insurance contributions in arrears (M13)
  • Start of studies and date of enrolment (M20)

The university reports to the health insurance companies

  • Start of the degree programme and the date of enrolment (M20)
  • End of the semester in which or at the end of which the student is/was de-registered (M30)

We require an electronic notification of your insurance status (M10) from your health insurance company at the latest at the time of enrolment. Please contact your health insurance company - the sooner the better. Your health insurance company will then send us the required notification. Please quote our separate sender number H0003588.

Students

Students who are already enrolled do not need to pay attention to the changeover for the time being. The change will only affect you as soon as you change health insurance provider, for example.

Students who change their health insurance company

To ensure that the next re-registration can take place smoothly, we need an electronic notification of the change of health insurance company (M11) from your new health insurance company. Please contact your health insurance company - the sooner the better. Your health insurance company will then send us the required notification. Please quote our separate sender number H0003588.

Note for persons with private insurance

In principle, you must contact any statutory health insurance fund, which will then notify us of the existence of private insurance. Please quote our separate sender number H0003588.

Application for electronic reporting

On the basis of the new Student Health Insurance Notification Ordinance, every student applicant must provide proof of health insurance or exemption from compulsory insurance in order to enrol at Heidelberg University. This information will now be sent directly to the university electronically by the statutory health insurance provider.

Bildungsinländer:innen or persons with equivalent status under authorisation law / German citizens

Please request "Registration reason M10 for Heidelberg University" from your statutory health insurance provider. With this confirmation, the health insurance company reports to the university whether you are

  • insured with the health insurance fund as an independent member or are co-insured through their parents.

If you have been exempted from the statutory insurance obligation, e.g. due to membership of a private health insurance company, you are free to choose which statutory health insurance company should handle the electronic notification "Notification reason M10 for Heidelberg University" for you.

Note: A written membership certificate from the health insurance company is no longer sufficient for enrolment. Please quote the "Separate sender number" H0003588 for Heidelberg University.

Foreign students

All newly admitted students are obliged to contact a German statutory health insurance company before enrolment - regardless of their current insurance status. The statutory health insurance company checks whether you have sufficient insurance in accordance with the statutory regulations and initiates an electronic notification to Heidelberg University. (Notification 10 - under the university number H0003588.)

For applicants from EU countries who have a European Health Insurance Card, no additional insurance in Germany is necessary. You only need to present your European Health Insurance Card (EHIC) to a German statutory health insurance company of your choice in order to receive confirmation ("Registration reason M10 for Heidelberg University") that you are exempt from compulsory insurance. Please quote the "Separate sender number" H0003588 for Heidelberg University. Please send the following documents to a statutory insurance company of your choice:

  • Letter of admission from Heidelberg University
  • Confirmation of your current health insurance coverage and/or scan of your EHIC card

Citizens of countries that have a social security agreement with Germany (e.g. Switzerland or Turkey)

If you have statutory health insurance in your home country, ask your insurance agent for a form that certifies your health insurance cover abroad. The forms have different names depending on the country of origin, e.g. E-111, AT 11, ATN11 or BH6. The form must be submitted to a German statutory health insurance company in order to receive confirmation ("Meldegrund M10 für die Universität Heidelberg") that you are exempt from compulsory insurance. Please quote the "Separate sender number" H0003588 for Heidelberg University. Please send the following documents to a statutory insurance company of your choice:

  • Letter of admission from Heidelberg University
  • Confirmation from your current health insurance company about your insurance cover or a corresponding form certifying your health insurance cover abroad.

All foreign students who are not exempt from insurance must take out insurance in Germany.

  • Admission letter Heidelberg University
  • Membership application

The health insurance company will then report the insurance status M10 electronically to Heidelberg University. Please enter the "Separate sender number" H0003588 for Heidelberg University.
